Basics of Web Conferencing: Tools and Tips

With working from home as the new normal, web conferencing has temporarily replaced traditional meetings. A virtual tool to meet face-to-face with others remotely, web conferencing can keep your meetings engaged and interactive while practicing social distancing.

Countless web conferencing services exist nowadays including Microsoft Teams, Zoom, Skype, and Google Hangouts. If you’re new to web conferencing, here are some best practices to keep in mind:

  1. Find an appropriate backdrop. If you are working at home, this means making sure that no personal items are behind you when you are on camera. A blank wall is a good option.
  2. Dress professionally. Even though you might be working from home, you should dress as though you are in the office. This will help you stay in the right mindset, and you will appear more prepared and professional to others on camera.
  3. Prepare your materials beforehand. As with any meeting, you should prepare your talking points for the meeting beforehand. Set an agenda to ensure that the meeting is organized, making the most out of everyone’s time.
  4. Remain aware of when your microphone is muted. If you are not speaking, keep your microphone on mute to ensure that background noises do not disrupt other speakers. Remember to unmute your microphone when you are ready to speak.
  5. Work on projects together by sharing your screen. Most web conferencing schools give you the option to share your screen, meaning that others will see your computer screen. This comes in handy when you need to discuss a document or project with your team.
